What is the Call for Submissions? Who can submit, and how many proposals can be submitted?
The Call for Submissions (Cfp) is an open invitation for community members to contribute to the WikiConference India 2026 program by proposing sessions, workshops, discussions, lightning talks, panels, posters, and other learning activities.
Anyone interested in contributing to the conference program may submit a proposal. You do not need to be affiliated with a Wikimedia organization to participate.
There is no fixed limit on the number of proposals you may submit. However, we encourage submitters to focus on high-quality, well-prepared proposals that align with the conference theme, "Reimagining the Knowledge Commons- Community Leadership in an Evolving Wikimedia Ecosystem " and objectives. Collaborative proposals are welcome. Please provide details of all co-presenters during submission.
Where do I submit my proposal?
All proposals must be submitted through the Eventyay platform. We encourage submitters to review the guiding questions before preparing their proposals.
What types of sessions can I submit?
WikiConference India 2026 welcomes a variety of session formats, which could be presented alone or along with others, including:
- Lightning Talks: 5 minutes
- Demonstrations: 15 - 20 minutes
- Facilitated Discussion / Round tables: 45 - 60 minutes
- Interactive Activity: 30 - 45 minutes
- Workshops: 60 - 90 minutes
- Panel discussions: 45 - 60 minutes
- Poster presentations
- Community meetups
I cannot find an option for a specific session format. What should I do?
If your preferred format is not available, choose the closest format and clearly explain your proposed structure in the session description. The Program Committee may contact you for clarification.
What is the proposal review process and timelines?
After the submission deadline, proposals will be reviewed by the Program Committee based on criteria such as:
- Relevance to conference themes
- Potential impact and learning value
- Clarity of objectives
- Community engagement
- Diversity of perspectives
- Feasibility within the conference format
Reviewers may contact submitters if additional information or clarification is needed.
When will I receive the results of my submission, and what happens after my proposal is accepted?
All submitters will be notified of the review outcome once the evaluation process is complete. The expected timeline for notifications will be published on the conference meta page.
If your proposal is accepted, you will be required to complete the speaker registration process according to the instructions shared by the organizers. Please note that acceptance of a proposal does not automatically guarantee additional scholarship or travel support.
What happens if my proposal requires changes or is similar to another submission?
During the review process, the Program Committee may recommend revisions to improve your proposal's fit within the conference program. In some cases, if multiple submissions cover similar topics, the committee may suggest combining proposals or coordinating with other submitters. These steps help reduce duplication, strengthen the overall program, and create a better experience for participants. Any proposed changes will be discussed with the submitter(s) before final decisions are made.
Can I submit a proposal on a topic outside the conference themes, and in which language can I submit it?
Yes. While we encourage proposals that align with the conference theme and tracks, innovative and relevant submissions that contribute to Wikimedia communities, knowledge sharing, collaboration, or movement growth are also welcome.
Proposals may be submitted in any of the conference's primary languages: English, Hindi, or Malayalam.
What support will be available for presenters before and during the conference?
The organizing team may offer orientation sessions, presenter briefings, or speaker support resources before the conference. Details will be shared with accepted presenters.
If you need to make changes to your proposal after submission, minor updates may be possible before the review process begins. For significant changes, please contact the Program Committee at program@wikiconference.in.
During the conference, standard presentation equipment such as projectors, screens, microphones, and internet access will be provided. Any special technical or accessibility requirements should be communicated to the organizers in advance.
Will my session be recorded, and will presentation materials be shared publicly?
Some sessions may be recorded depending on program requirements and available resources. If recording is planned, presenters will have the opportunity to indicate their recording preferences during the submission or confirmation process and may opt out if they do not wish their session to be recorded.
Presenters are also encouraged to share their slides and supporting materials under open licenses on Wikimedia Commons, where possible. Additional guidance on recording and sharing presentation materials will be communicated before the conference.
Can I use AI tools to help prepare my proposal?
Yes. AI tools may be used to assist with drafting or refining proposals. However, submitters are responsible for ensuring the accuracy, originality, and completeness of all submitted content and for ensuring all content ( unless confidential) is in line with Wikimedia Commons Guidelines.

We encourage you to contact us as soon as possible, as requests related to submission issues may not be accommodated after the submission deadline has passed.
