Committee members will score each submission, and the average scores will determine which proposals are accepted, based on the available program schedule.

We will consider limited use of pre-recorded sessions where there is a strong alignment to the aims of the conference and in person attendance is not possible. However our preference will be for sessions to be delivered in person to make the conference engaging for attendees.

If there are multiple similar proposals covering the same topic, the Program Committee may suggest merging sessions or collaborative presentations to ensure broader representation and reduce overlap.

Pre-recorded sessions: Filming and uploading information

Speakers who are pre-recording their sessions must do the following:

  1. Log into eventyay and visit your sessions page.
  2. Click into your session and make sure that your session is showing as “pre-recorded lightning talk” (or pre-recorded presentation” if you are delivering a 20 minute pre-recorded presentation)
  3. Scroll down to the bottom of the page and hit "Save".
  4. Use the filming tips below to film your video.
  5. Watch your video(s) and make sure the audio sounds good, and that the lighting looks good too. Don't be afraid to reshoot and do it again.
  6. Upload your video to Commons using Video2Commons and add the designated category.
  7. Add your Commons link to eventyay on your session page by choosing "Resources". Scroll down and hit "Save."

Camera Settings for Android

  1. Touch the Settings icon. Choose Resolution & Quality, a mode and a camera.
  2. Choose a resolution or video quality setting from the list: 30 fps will look like standard video; 60 fps will make captured motion look very smooth.
  3. Choose the 16:9 ratio setting over 4:3.

Camera Settings for iPhone/iPad

  1. On the iPhone, open Settings, then head to "Camera." From here, tap "Record Video," then choose any of the 4K options. Changing it here will switch it in the Camera app immediately.
